Detailed Faculty Action Items
- Site Registration (Friday, March 29th): Please register for each of the Institute site(s) you’ve been invited to teach by selecting Volunteers and Faculty on the registration page. Here you’ll accept the 2024 Faculty Contract, submit your emergency contact, dietary, and lodging information. Faculty will be asked to provide their intended arrival and departure days prior to arrival. Institute covers lodging for faculty members for up to the day prior to and after teaching days, and we will make the reservation and communicate confirmation information prior to site. You will receive a confirmation email once this is complete. Please be sure to verify you receive this to confirm your registration completion.
- Submit Updated W-9 (Friday, March 29th): For reimbursement, we need a copy of your W-9 form. If you are a new faculty member or your organization information has changed since your last Institute payment, please send an updated copy to Cici at cfrancisco@uschamber.com. If you have questions on the compensation structure, please let Cici know.
- Transportation to Site (Deadlines Below): Flights are covered by Institute and booked by the faculty member using the Institute partner travel agency, Ovation. If a faculty member drives to site, they will be reimbursed for mileage, which is is calculated using the federal government reimbursement rate. Please book travel as soon as possible and before the below deadlines:
- Midwest: Friday, April 26th
- *Southeast: Friday, May 17th
- Northeast: Friday, June 21st
*Please note, for Southeast Institute, the ATL airport is approximately 1.5 hours from Athens. We recommend using Groome Transportation, which provides shuttle service from the airport to the UGA Hotel. Please visit their website or call 706-612-1155 to make a reservation. The cost should be covered by your travel expense.

- Virtual Faculty Trainings: Summer Faculty Training sessions (#1 & #2 below) are required for new faculty members and optional for returning faculty. Because the sessions will cover different content, new faculty are required to attend both. As mentioned in the invitation to teach, two areas of focus for the Curriculum Committee are Artificial Intelligence (AI) and Diversity, Equity, and Inclusion (DEI). As you prepare to teach, we ask that you consider how these topics relate to your courses and update your presentation accordingly. Training opportunities will be scheduled to provide the opportunity to discuss the implementation in more depth. All faculty are invited to attend these topic-specific trainings (#3 & #4 below).
- Summer Faculty Training #1: Orientation and Initial Preparation: (Friday, April 12th: 11:00 AM – 12:00 PM ET). VIEW RECORDING HERE. In this session we’ll review site-specific information and faculty expectations. Experienced faculty members will cover the nuances of teaching at Institute and discuss how to prepare effective presentation materials. We’ll discuss the attendee profile, hear from new faculty who share their perspective, and discuss other high-level initial preparation topics.
- Summer Faculty Training #2: The Classroom Experience: (Monday, May 13th: 3:00 – 4:00 PM ET). VIEW RECORDING HERE. In this session experienced faculty members will deep-dive classroom management techniques and share best practices as you focus on the classroom experience aspect for attendees. This training will provide a more hands-on approach to preparation.
- *Artificial Intelligence (AI) Training (Thursday, May 2nd: 4:00 – 5:00 PM ET): As mentioned in the invitation to teach, one area of focus for the Curriculum Committee is Artificial Intelligence (AI). As you prepare to teach, we ask that you consider how this topic relates to your courses and update your presentation accordingly. All faculty are invited to attend this AI-topic-specific training to provide the opportunity to discuss the implementation in more depth.
- *Diversity, Equity, and Inclusion (DEI) Training (Wednesday, May 8th: 1:00 – 3:00 PM ET): As mentioned in the invitation to teach, one area of focus for the Curriculum Committee is Diversity, Equity, and Inclusion (DEI). As you prepare to teach, we ask that you consider how this topic relates to your courses and update your presentation accordingly. All faculty are invited to attend this DEI-topic-specific training to provide the opportunity to discuss the implementation in more depth.

- To maintain uniformity of presentations on-site it was previously requested that a full Institute-branded template be used for the entirety of the presentation. However, we now only require that the title slide of your presentation be an Institute-branded templates. Please find three PowerPoint template options to choose from below:

- Dark Blue – Blue
- Course Evaluation QR Codes: To ensure the quality of the program, every attendee is asked to evaluate strengths/areas of improvement for the course and instructor. These evaluations are conducted electronically and once feedback is processed, individual comments are sent to faculty. In a new effort to increase participation in the survey, we ask that you allocate 5-10 minutes at the end of class for attendees to complete this. Please choose the preferred template color palette of your choosing and incorporate the respective slide as the final slide of your submitted presentation materials. Please note, the QR code will be updated for each site, so may not currently reflect the site page for the site you’re teaching at, but it will by the time attendees access it. Attendees can complete the course evaluations by scanning the QR code on their mobile device or by following the website listed on their laptops. Again, we ask that you allocate 5-10 minutes at the end of the presentation for attendees to share feedback.

- Course Rosters: Direct links to your course rosters will be available shortly below. These will be updated in real-time, so as more attendees register, the rosters will automatically reflect these changes. We recommend you looking at the specific rosters as you prepare, as they will provide insight into the demographic composition of your classes.
*AI enabled assistants will not be allowed to join Institute board/volunteer meetings and other calls that are a safe space which requires presence and participation. AI enabled assistants are, however, allowed in information sessions, orientations, webinars, and other such calls, which are also recorded.
